**Summary:**

* The Records Technician- Case Closing performs several functions related to the closure of cases and the preparation of files for retirement.


**Essential Duties and Responsibilities:**(Reasonable accommodations may be made to enable individuals with disabilities to perform the essential functions of this position)

* Prepares case files for closure and shipment to the RMU by removing duplicate copies of documents; organizing file documents by category and chronological date; and packaging the file in appropriate folders, electronic media, and/or boxes for retirement to the RMU.

* Receives disposition/closure forms and delivers them to the Office of Management Information for data entry; picks up entered disposition/closure forms from the Office of Management Information; stamps them as received, then routes them to the appropriate records unit for filing.

* Attaches forms to disposition/closure forms for which the Division has not received any file materials, sends them to ARU supervisors, and monitors and reports on result of efforts to obtain file materials for those cases.

* Reviews, identifies, and routes to the proper records unit or attorney file materials received from the Office of the Solicitor General.

* Identifies records on special media that need conversion to NARA-approved formats; asks assigned attorneys if special media are necessary for inclusion in official case files; labels and send special media to conversion vendor; stamps authorized media for retirement.

* Assists Records Supervisor in conducting quality control reviews of work performed in ARU's.

* Performs duties of Records Technician-ARU and Records Clerk when needed.

* Operates digital image scanning equipment to capture images and generate associated OCR text.

* Follows established scanning and quality control procedures in producing digital files on specified format for further processing.


**Non-Essential Duties:**

* Other duties as assigned

* May be required to prepare documents for scanning by dissembling prior to scanning and reassembling afterward.

* May be required to record file level information and physical attachment information during the scanning process.

**Minimum Qualifications:** (To perform this job successfully, an individual must be able to perform each essential duty satisfactorily.)

* 1 year of college education OR 1 year of relevant education beyond high school related to litigation activities (e.g. paralegal training) OR 1 year of experience working with legal documents in a government or private law office.

* 6 months of on-the-job experience using computer terminal.


**Knowledge, Skills and Abilities:**

* Ability to communicate fluently in English, understand and follow procedures.

* Demonstrated ability to maintain files, interpret and apply records policy and fining techniques in a variety of situations.

* Ability to use a scanner and electrical document management tools and software.

* Ability to order and sequence complex numbers and to perform quickly and accurately basic numeric calculations.

* Ability to obtain a Secret clearance

* Demonstrated ability to identify and distinguish different kinds of legal documents and their purpose.

* Demonstrated ability to create and maintain tracking systems for the completion of work assignments.

* Demonstrated ability to think logically and apply general principles to specific situations.

* Demonstrated ability to organize large masses of materials, and type proficiently.

* Ability to work individually, in teams, and interact tactfully with government staff.
